How to Prepare and Upload Your Documents
Preparing and uploading documents
You never have to mail us anything physical. Everything happens with digital files sent straight through our website. Each upload is encrypted while it travels to us and held safely on Amazon Web Services. Nearly every common document format works, including:
(.jpg, .jpeg, .png, .tiff, .webp)
Tips for Scanning or Photographing Documents
Cleaner source files lead to a smoother, more precise translation. When you scan or snap a photo of a document, keep these pointers in mind so the text stays easy to read and easy to translate:
- Aim for 300 DPI or higher on a scan. With a phone photo, check that every word looks crisp.
- Steer clear of shadows, reflections, or bright spots that could hide any of the wording.
- Trim away the surroundings so the page fills the frame with none of the edges chopped off.
- Keep each photo to one page or one document rather than bundling several together.
- Line up the page squarely so nothing comes out tilted, skewed, or warped.
Uploading Files During Checkout
When you reach checkout, you'll be asked to add your documents. Drag them in or pick them from your device, whichever is easier. The system tallies your files to work out the price, and it shows a word count preview so you can double-check it looks right before you confirm. Every file passes a quick review from our team ahead of translation.
If your document is:
- Each file can be up to 50 MB. If yours runs larger, compressing or breaking it into parts usually does the trick.
- It's best to merge the pieces into one file first. When that won't work, send them one by one and add a quick note, and we'll gladly stitch them together for you.
- When a PDF is locked with a password, our system will ask you to type it in so we can open the file to count the words and translate it.
- Should anything look uncertain, such as whether a scan is legible or how the pages ought to be sorted, someone from our team will reach out. If not, translators will sort and translate everything using their best judgment.
Adding or Replacing Files After Ordering
Need to slip in another file or swap one out after ordering? Just let us know, and your order gets reopened so the new file has somewhere to land.
If work has already started, what's possible will depend on the word count and how far along the translation is.
Our team looks over the updated files and clears any shift in price or turnaround time with you before moving ahead.
Certified Translation Coversheets
With certified translations, one coversheet usually accompanies each order. Want a separate coversheet tied to every document? Drop a note at checkout and we'll handle it your way. When the way your files are organized makes the document breaks obvious, we'll follow that lead. If not, translators will rely on their best judgment.
You can ask for adjustments after delivery through a revision request, though that can push back the final steps. Spelling out what you need from the start cuts down on back-and-forth and gets your translation built exactly the way you want it.
